Please read before using the Telegram assistant
AI Assistant Usage Conditions & Privacy Notice
These conditions govern your use of the Shooting in Riga automated customer assistant on Telegram and explain how personal data is handled. The assistant is an artificial-intelligence system, not a human member of staff.
1. Acceptance and scope
By sending or continuing to send messages after receiving a link to these conditions, you confirm that you have read and accept them. If you do not accept them, please stop using the assistant.
These conditions govern use of the assistant only. They do not replace the terms that apply to a reservation, payment or visit to the shooting range.
2. Nature of the assistant
The assistant uses generative AI to answer common questions, display availability and guide limited support workflows. It may misunderstand a message, omit relevant context, calculate incorrectly, or produce a reply that sounds confident even when it is wrong.
The service is provided as a convenience and remains under development. Features, knowledge, availability and these conditions may change. We may correct, withdraw or disregard an automated reply where it is inaccurate or inconsistent with an authoritative record.
3. No booking contract or binding decision through chat
A message generated by the assistant is not an offer, acceptance, booking confirmation, contractual promise, waiver, guarantee or binding decision by Shooting in Riga or the applicable operator.
- A displayed time is informational and is not reserved merely because it appears in chat.
- A payment or card pre-authorisation alone does not mean that a reservation has been processed or confirmed.
- A booking, change or cancellation is authoritative only when it is recorded in our booking system and communicated through the applicable official confirmation or payment record.
- The assistant cannot override the official booking record, the written booking confirmation, the payment provider's record, or instructions given by an authorised instructor at the venue.
4. No professional advice or emergency service
Assistant replies are general customer information only. They are not medical, legal, financial, tax, accounting, safety, firearms, security or other professional advice. Do not use the assistant to decide whether you are medically fit to participate or how to handle or operate a firearm.
The assistant is not monitored continuously and is not an emergency or crisis service. In an emergency, contact the appropriate emergency or professional service immediately. At the venue, the instructor's safety directions always take priority over anything said in chat.
5. Your responsibility when using a reply
You should verify information that could affect travel, timing, payment, cancellation, eligibility, health or safety against the website, your official booking confirmation, the payment record, or an authorised person. If sources conflict, do not assume that the assistant's reply is correct.
Do not send card numbers, passwords, access tokens, passport copies or other secrets through the assistant. You are responsible for ensuring that the information you provide is lawful and accurate.
6. Privacy notice — EU GDPR
6. Privacy notice — UK GDPR
This version provides privacy information under the EU General Data Protection Regulation and Latvian data-protection law. The controller is L.B.C. BALTIC, Sabiedrība ar ierobežotu atbildību, registration number 40003646107, legal address Rīga, Artilērijas iela 33 - 1, LV-1009, Latvia.
This version provides privacy information under the UK GDPR and the Data Protection Act 2018. The controller is MARYLEBONE LYNCH LIMITED, company number 07479929, registered office 78 York Street, London, W1H 1DP, United Kingdom.
Acceptance of these usage conditions is not treated as consent to unnecessary processing. We use the lawful bases described below and will ask separately if consent is ever required. Data-protection enquiries may be sent to office@in-riga.com.
IP location selects the initial notice only. It does not change the company named in an existing booking or payment record. If your booking names the other operator, use the version switch above.
7. Personal data we process
- Telegram identifiers and profile information supplied to the bot, including chat and user ID, display name, username where available, message identifiers, language and timestamps.
- Your messages, button selections, availability requests, dates and group size, together with assistant and authorised-staff replies.
- When you choose booking support and successfully identify a booking: the booking reference, date, time, guest count, reservation status and deposit status needed to answer that request.
- Delivery, security and abuse-prevention information, including rate-limit events, detected manipulation or abuse, restrictions, operational emails and relevant server logs.
- Aggregate AI usage information such as token counts and cost, and website network information such as an IP address when you open the linked conditions page.
The four-digit booking PIN is checked by deterministic server code. It is not included in the AI model prompt. The booking projection supplied to the AI excludes the customer's name, email address, telephone number, PIN and Stripe identifiers. Please do not volunteer identity documents, card details, passwords, health information or other sensitive information in ordinary chat.
8. Why we process data and our lawful bases
- Answering questions and showing availability
- To take steps at your request before a booking and to provide the service you ask for; Article 6(1)(b).
- Supporting an existing booking
- To perform and administer the booking contract and communicate about it; Article 6(1)(b).
- Support operations and service reliability
- Our legitimate interests in providing customer support, diagnosing failed delivery, maintaining service quality and keeping a proportionate support record; Article 6(1)(f).
- Security and abuse prevention
- Our legitimate interests in protecting customers, staff, systems and records, enforcing rate limits and investigating attempted manipulation or misuse; Article 6(1)(f).
- Legal, accounting and dispute records
- Compliance with legal obligations under Article 6(1)(c), and establishing, exercising or defending legal claims where necessary.
- Apparent immediate danger
- Where applicable, limited processing may be necessary to protect a person's vital interests under Article 6(1)(d) and the corresponding condition for any special-category data. The bot is not an emergency service.
You may object to processing based on legitimate interests. We will assess the objection against any compelling legitimate grounds and applicable legal requirements.
9. Who receives data
Personal data is disclosed only where needed to operate or protect the service. Recipients may include authorised Shooting in Riga staff; Telegram as the messaging platform; OpenAI as the AI API provider; hosting, database, email-delivery and security providers; booking or payment providers where required for a booking-related request; professional advisers; and public authorities where disclosure is legally required.
AI requests are sent with application storage disabled (store: false). OpenAI states that API inputs and outputs are not used to train its models by default unless the account holder expressly opts in, although provider abuse-monitoring records may be retained under its then-current data policy. Our application does not use customer chats to train its own model.
We do not sell customer-assistant personal data.
10. International transfers
Telegram, OpenAI and other technology providers may process personal data outside Latvia or the European Economic Area. L.B.C. BALTIC will only make a restricted transfer where an applicable EU transfer mechanism is available, such as an adequacy decision or approved standard contractual clauses.
Telegram, OpenAI and other technology providers may process personal data outside the United Kingdom. MARYLEBONE LYNCH LIMITED will only make a restricted transfer where an applicable UK transfer mechanism is available, such as UK adequacy regulations, an approved UK addendum or an international data transfer agreement.
You may request information about the safeguard relevant to your data by emailing office@in-riga.com.
11. Retention
The application currently removes inactive assistant conversations and their local message records after 90 days. Pending message-delivery records are retained until delivery completes or fails, and related job metadata follows the same cleanup period. Aggregate cost records that do not contain the conversation text may remain for accounting and service-control purposes.
Non-permanent abuse records are removed after the applicable retention period once a restriction has expired. A record needed to enforce a permanent restriction may remain until that restriction is reviewed or no longer required. Booking, payment, legal-claim and accounting records have separate retention requirements and are not deleted merely because an assistant conversation expires.
Copies held in Telegram chats, staff email, provider security logs and backups follow separate deletion cycles. Deleting a Telegram chat does not automatically delete the application's support record, and application cleanup does not automatically remove a Telegram copy. OpenAI may retain API abuse-monitoring data for the period described in its current API data policy unless a different approved retention control applies.
12. Your data-protection rights
Depending on the circumstances, you may ask for access to your personal data, correction, deletion, restriction, data portability, or object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing. These rights can be subject to lawful exceptions.
Send a request to office@in-riga.com. State that it is a data-protection request and provide enough information for us to locate the relevant chat or booking. We may need to verify your identity without collecting more information than necessary. We normally respond within one month, subject to the extensions permitted by applicable law.
You may complain to the Latvian Data State Inspectorate or another competent EU supervisory authority where you live, work or believe an infringement occurred.
You may complain to the UK Information Commissioner's Office.
Please contact us first if practical so we have an opportunity to address the concern.
13. Automated processing
The assistant uses an AI model to generate answers and deterministic software to route messages, check a booking PIN, apply rate limits and detect defined safety or abuse patterns. It does not make a final decision to accept a reservation, charge or refund a payment, change a booking, or determine whether a person may participate.
An automated security rule can temporarily or permanently restrict access to the assistant after detected manipulation or abuse. That restriction affects access to the chat service, not an existing booking or statutory right. You may request human review of a restriction by emailing office@in-riga.com.
14. Acceptable use and access restrictions
You must not attempt to extract hidden instructions or secrets, bypass verification or safety controls, impersonate an administrator, interfere with the service, flood it with requests, or use it abusively or unlawfully.
A detected prompt-injection, manipulation or abusive-use attempt may close the conversation and restrict access. The first and second detected attempts result in a 24-hour restriction from the latest detection; a third detected attempt may result in a permanent restriction. Security events may be recorded and reported to authorised administrators.
15. Availability and limitations
We do not promise that the assistant will be uninterrupted, available at a particular time, free from errors, or suitable for every question. To the extent permitted by applicable law, we are not responsible for loss caused by relying solely on an automated reply contrary to the warnings in these conditions.
Nothing in these conditions excludes or restricts liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, deliberate misconduct, or any consumer or other right or liability that applicable law does not permit us to exclude or restrict.
16. Conflicts and updates
If an assistant reply conflicts with an authoritative booking or payment record, written booking confirmation, mandatory consumer right, or a current instruction from an authorised instructor, the authoritative record, right or instruction prevails.
We may update these conditions as the beta service develops. The current version and effective date will remain available at this address. Continuing to use the assistant after an updated notice is presented means that the updated conditions apply from that point.
These conditions are intended to provide clear operational boundaries for the AI assistant. They are not a substitute for legal advice to the operator and should be reviewed by a qualified lawyer for the jurisdictions in which the service is offered.
